We are the controller of the personal data described in this policy. If you have any question about how we handle your data, contact us at hello@nexus-softworks.com.
2. What this policy covers
This policy explains what personal data we collect through this website and in the course of providing our services, why we process it, how long we keep it, and what rights you have. It applies to visitors of this website, people who send us an enquiry, and representatives of our clients.
It does not apply to third-party websites we link to. Those services operate under their own policies.
3. What data we collect
Data you give us
- Your name and email address, and optionally your company name and phone number, when you send us a project brief or write to us.
- The content of your message, including any project details, files or credentials you choose to share with us.
- Billing details for clients — company name, registration number, address and bank details, as required to issue an invoice.
Data collected automatically
- Technical information logged by our hosting provider when a page is requested: IP address, browser type and version, operating system, referring page, and the date and time of the request. These logs exist for security and for keeping the service running.
We do not knowingly collect special categories of personal data (such as health, religious or biometric data), and you should not send them to us.
4. Why we process it, and on what legal basis
| Purpose | Legal basis (GDPR Art. 6) | Retention |
|---|---|---|
| Replying to your enquiry and preparing a quote | Steps prior to entering a contract (Art. 6(1)(b)); legitimate interest in responding (Art. 6(1)(f)) | 24 months from last contact |
| Delivering a project you have engaged us for | Performance of a contract (Art. 6(1)(b)) | Duration of the engagement |
| Issuing invoices and keeping accounting records | Legal obligation under Latvian accounting law (Art. 6(1)(c)) | 5 years, as required by law |
| Server logs, security and abuse prevention | Legitimate interest in a secure service (Art. 6(1)(f)) | Up to 12 months |
| Defending or bringing legal claims | Legitimate interest (Art. 6(1)(f)) | Until the limitation period expires |
We do not use your data for automated decision-making or profiling, and we do not sell it to anyone.
5. Cookies
This website uses only what is strictly necessary to serve the page. A detailed breakdown — including what we would set if analytics are added in future, and how to control cookies in your browser — is in our Cookies Policy.
6. Who we share data with
We share personal data only with parties who need it in order for us to operate, and only to the extent necessary:
- Hosting and infrastructure providers who run the servers this website and our email are delivered from.
- Payment and banking providers used to receive payment for invoices.
- Accounting service providers engaged to maintain our statutory books.
- Public authorities, where we are legally required to disclose information.
Each processor acts on our documented instructions under a written data processing agreement. We do not share your data with advertising networks or data brokers.
7. International transfers
We prefer providers located in the European Economic Area. Where a provider processes data outside the EEA, the transfer is made under an adequacy decision of the European Commission or under Standard Contractual Clauses, together with any additional safeguards the transfer requires. You may request details of the safeguards applied to a specific transfer.
8. How we protect it
- Traffic to this website is encrypted in transit over HTTPS.
- Access to client data is limited to the people working on that engagement.
- Credentials a client shares with us are stored in a password manager, never in plain text in tickets or chat, and are rotated or revoked at the end of the engagement.
- Repositories and infrastructure are protected with multi-factor authentication.
No system is perfectly secure. If a breach occurs that is likely to result in a risk to your rights, we will notify the supervisory authority within 72 hours and inform you where the law requires it.
9. Your rights
Under the General Data Protection Regulation you have the right to:
- Access the personal data we hold about you, and receive a copy of it.
- Have inaccurate data corrected without undue delay.
- Have your data erased where there is no overriding legal ground for us to keep it.
- Restrict processing while a dispute about accuracy or legitimacy is resolved.
- Receive data you provided to us in a structured, machine-readable format, and have it transmitted to another controller.
- Object to processing based on our legitimate interests, including at any time to direct marketing.
- Withdraw consent, where processing is based on consent, without affecting processing carried out before withdrawal.
Write to hello@nexus-softworks.com to exercise any of these. We respond within one month; if a request is complex we may extend that by two further months and will tell you why. Exercising your rights is free unless a request is manifestly unfounded or excessive.
10. Complaints
If you believe we have handled your data unlawfully, we would like the chance to put it right — please contact us first. You also have the right to lodge a complaint with the Latvian supervisory authority, the Data State Inspectorate (Datu valsts inspekcija), Elijas iela 17, Riga, LV-1050, Latvia, or with the supervisory authority of the EU country where you live or work.
11. Children
This website and our services are directed at businesses, not at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.
12. Changes to this policy
We may update this policy when our processing changes or when the law requires it. The current version is always published on this page with the date it took effect. Material changes affecting existing clients will also be communicated by email.
